Role overview

To perform a range of clerical administrative tasks in support of Human Resources activities in Brazil, with focus on payroll, contracts, and benefits management, liaising closely with internal stakeholders and external suppliers such as outsourced accountants and insurance provider. Post holder will work closely with line manager finding balance on corporate policies and local law requirements as appropriate.

Responsibilities

These are some of the main responsibilities, but not limited to:

  • Monitor staff contracts, acting on renewals, conversions, termination, and other non-routine cases such as maternity leave. 
  • Manage staff benefits such as health, dental and life insurances, meal tickets and transportation allowance, ensuring that enrolment and discontinuation cases take place as required, within deadline. Check corresponding monthly invoices and submit to the finance team for payment and internal accounting procedures. Liaise with outsourced insurance agent for changes and updates.
  • Monitor staff medical clearance as required by labour law, liaising with the occupational health clinic, ensuring all staff are cleared within deadlines. Same with office ergonomics compliance.
  • Work closely with line manager on monthly submission of payroll changes to the outsourced accountants, checking draft versions and requesting corrections before it is signed off by Head of HR and Country Director. Liaise with regional and local colleagues on the accounting-related activities for end-month closure related to staff. 
  • Maintain physical and electronic files duly updated as required by local labour law and for internal/external audit purposes. That includes staff individual binders, payroll, benefits and other HR matters. 
  • Provide information to self-funded projects on monthly basis regarding their staff costs as supporting document for the settlement of accounts to third parties.
  • Manage the automated clock-in system for Brazil, acting as focal point for enquiries. Generate monthly reports checking the need for payment eventually. Monitor annual contract renewal with service provider and our finance team.
  • Assist Regional Resources Team with recruitment timetable, candidate testing, referencing and any other issues upon demand.

Requirements

  • Proven experience of working in an HR function, in special with payroll and related issues. 
  • Experience working with sensitive and confidential information.  
  • Excellent organisation and time management skills.
  • Ability to operate in Portuguese and English (both written and spoken) at IELTS level 6.0 or equivalent. Non-native speakers of Portuguese may be required to take a Portuguese test covering technical labour law related jargon.

Desirable criteria

  • SAP knowledge
  • Experience working with any type of HRIS – Human Resources Information Systems.
  • Formal training or certification in Brazilian payroll and benefits procedures.
  • University degree in Accounting, Administration, or related area.
